What Happens After You Book?
Submitted your booking with Rugby Inflatables?
Here’s what happens next.
From reviewing your booking details and confirming your hire
through to setup, handover and collection, this page explains
the next stages so you know what to expect.
Booking Received vs Booking Confirmed
When you submit an online booking, you may receive an automatic
message confirming that your booking request has been
received.
Rugby Inflatables will then review the information supplied,
including the equipment, date, location, venue, access,
setup requirements and other relevant details.
Your booking should only be treated as fully accepted once
Rugby Inflatables has reviewed it and sent the relevant
booking confirmation.
STEP 1
We Review Your Booking
We check the information you have provided to make sure
everything looks suitable for the requested hire.
Depending on the booking, this can include checking:

Your selected inflatable or package.

The hire date and delivery area.

Venue access and available setup times.
-
Available floor space and ceiling height.
-
Access restrictions.
-
Any special information supplied with the booking.
STEP 2
We Contact You if We Need Anything
If anything needs clarification, we may contact you before
confirming the booking.
This could include asking about venue dimensions, access,
setup space, party times, the hire address or another detail
that could affect delivery or installation.
STEP 3
Your Booking Is Confirmed
Once the booking has been reviewed and accepted, you will
receive confirmation from Rugby Inflatables.
Please check the confirmation carefully and make sure the
important information is correct.
Please check:
your hire date, venue or delivery address, equipment,
event times and contact information.
Your Deposit
A £20 deposit per inflatable is required
to secure a confirmed booking.
For packages containing multiple inflatables, the required
deposit reflects the number of inflatables included.
Cancellation, transfer and refund arrangements are covered by
our Terms & Conditions.
STEP 4
Keep Us Updated
If anything changes after booking, please let us know as soon
as reasonably possible.
Changes we need to know about can include:

A different venue.

Changed access or event times.

A change to the setup area.

New access restrictions.

Any other change that could affect the hire.
October to March: Indoor Hire Only
Rugby Inflatables operates indoors from
October through to 31 March.
During this period, please make sure your venue has suitable
floor space, ceiling height, power and access for the booked
equipment.
STEP 5
Before Your Hire
As your hire approaches, we may send you additional information
about your booking and the arrangements for the day.
Please read any information we send, as it may include important
details about setup, access, supervision, safety or payment.
You should also make sure the venue or setup area will be
available and ready when we arrive.
Indoor Venue Bookings
For an indoor venue booking, we work around the
venue access and exit times you have supplied.
We need enough time to bring the equipment into the venue,
install it safely and complete our checks before it is used.
We also need enough time at the end of the booking to safely
deflate and remove the equipment before your venue hire ends.
Outdoor Bookings from April
When our outdoor season returns, outdoor inflatables can only
be installed on suitable natural grass or soil.
We do not install outdoor inflatables on hard standing or
artificial grass.
Outdoor hires are also subject to suitable weather conditions.
Where weather affects a booking, the arrangements in our current
Terms & Conditions will apply.
STEP 6
Delivery & Setup
When we arrive, Rugby Inflatables will bring the equipment to
the setup location and complete the installation.
The required setup and safety checks are completed before the
inflatable is handed over for use.
Please make sure the access route and setup area are clear
before we arrive.
STEP 7
Handover & Supervision
A responsible person aged 18 or over must be available to
receive the equipment and complete the handover.
The inflatable must then be appropriately supervised throughout
the hire and used in accordance with the safety information
provided.
User suitability, permitted heights and maximum user numbers
depend on the individual inflatable and its manufacturer
information.
Paying the Remaining Balance
Unless a different arrangement has been confirmed, the
outstanding balance is normally due on the day of hire.
Payment can be made using the payment arrangements provided
by Rugby Inflatables, including cash, card or a payment link
where available.
During Your Hire
For standard home hires, our normal hire period is approximately
8 hours.
Normal home-hire delivery is between
09:00 and 12:00, with collection normally
between 17:00 and 20:00, unless a different
arrangement has been confirmed.
Venue bookings operate around the access and exit times supplied
for the venue rather than the standard home-hire windows.
Please Do Not Move or Alter the Equipment
Once Rugby Inflatables has installed and handed over an
inflatable, it must not be moved, repositioned, altered,
disconnected or dismantled by the customer.
If there is a problem during the hire, stop use where necessary
and contact Rugby Inflatables for advice.
STEP 8
Collection
Rugby Inflatables will return to collect the equipment in
accordance with the arrangements for your booking.
Please keep the equipment accessible until we arrive.
Our team will deflate, dismantle and remove the inflatable —
you do not need to pack the equipment away yourself.
