The inflatable must be carried from the delivery vehicle to the setup area. It is therefore important to check gates, side passages, doorways, steps and any tight corners.

The route should be clear of rubbish, garden furniture, plant pots, bicycles and other obstructions before the delivery team arrives. Please also let us know in advance about steps, slopes, narrow access or unusually long carrying distances.

Measuring an Indoor Venue

For indoor hires, ask the venue for the clear usable dimensions of the hall rather than relying only on the advertised room size. The listed ceiling height may not account for beams, lighting, suspended decorations or other fixtures.

You should also confirm the venue access time, party start time and the time by which all equipment must be removed. These times affect the delivery and collection schedule.

What to Check Before Booking a Hall

If the party starts at 1pm, booking the hall from exactly 1pm will not usually provide enough setup time. The inflatable must be delivered, positioned, inflated, checked and handed over before children begin using it.

Parking and Unloading at Indoor Venues

The inflatable and associated equipment must be moved safely from the delivery vehicle into the venue. Parking close to the correct entrance can make a significant difference.

Before the hire, check whether the venue has a loading area, restricted parking, locked barriers, steps or long corridors. Let us know if access is unusual so we can consider it when planning the delivery.

Suitable Outdoor Surfaces

Outdoor inflatables must be securely anchored. Rugby Inflatables installs outdoor equipment on suitable natural grass or soil where professional stakes can be driven into the ground.

The setup area should be reasonably level, clear of sharp objects and free from pet waste, garden furniture, toys, branches and other obstructions.

Underground Services

Professional stakes are driven into the ground to secure an outdoor inflatable. It is therefore important to tell us about any known underground pipes, cables, drainage systems, irrigation equipment or other services beneath the proposed setup area.

Customers are responsible for identifying known underground services. Where there is uncertainty, a different setup location may be required.

Outdoor Weather Considerations

Outdoor hire is always dependent on suitable weather. Wind, rain, ground conditions and extreme heat can all affect whether the inflatable can be operated safely.

The forecast should be monitored before the event, but conditions must also be checked during the hire. A forecast alone cannot replace on-site monitoring.

Outdoor Delivery and Collection Times

For standard garden hires, deliveries take place between 9am and 12pm, with collections between 5pm and 8pm.

Deliveries and collections are completed on a planned route, so exact times are not normally available for garden hires. Somebody aged 18 or over must be present to accept the delivery and receive the safety handover.

Indoor or Outdoor: Which Should You Choose?

Outdoor hire is therefore always subject to suitable conditions. Rugby Inflatables monitors the forecast before each booking, but the weather must also be observed throughout the hire because local conditions can change quickly.

Why Wind Matters

Inflatables have a large surface area and can be affected by wind in a similar way to a sail. Correct anchoring is essential, but anchoring does not make an inflatable safe in unlimited wind conditions.

The wind limit is not simply a general recommendation. It is an operating restriction that must be followed throughout the hire. If the limit is reached or exceeded, the inflatable must not continue to be used.

Wind can vary between streets, gardens and open fields. Buildings, fences, trees and exposed locations can all change how the wind behaves at the setup area. This is why a general forecast must be supported by checks at the inflatable itself.

Sustained Wind and Gusts

A weather forecast may show both a sustained wind speed and a higher gust speed. The sustained figure represents the more consistent wind, while gusts are shorter bursts that can be considerably stronger.

Both figures matter. A forecast showing moderate sustained wind can still be unsuitable if the expected gusts reach the operating limit.

Customers should therefore never look only at the main wind figure shown on a weather application. The gust forecast must also be checked, and actual conditions must be monitored during the event.

Using an Anemometer

An anemometer is a handheld device used to measure wind speed at the hire location. For applicable outdoor hires, Rugby Inflatables provides wind guidance and an anemometer so the responsible adult can continue monitoring conditions.

Measurements should be taken close to the inflatable and in a position that reflects the actual conditions affecting it. The device should be held clear of the body, walls, fences and other objects that may shelter or distort the reading.

A single reading at the start of the day is not enough. Conditions should be checked regularly and whenever the wind appears to increase.

Rain and Wet Conditions

Rain can affect both the inflatable and the surrounding ground. Wet entrance steps, mats and bouncing surfaces may become slippery, while prolonged rain can lead to water collecting on or around the equipment.

Light, brief rain may not always require cancellation, but users should be removed if the inflatable becomes slippery or if visibility and supervision are affected.

Heavy, persistent or driving rain may make the hire unsuitable. Saturated ground can also affect access, cleanliness and the condition of the setup area.

Thunderstorms and Lightning

Weather can affect the ground as well as the air. Very wet, waterlogged or damaged grass may be unsuitable for setup, particularly where equipment cannot be transported or anchored safely.

The setup area should remain reasonably firm, level and free from standing water. If the ground becomes unsafe during the hire, use may need to stop.

Final suitability is assessed at the location. Even when a forecast appears acceptable, the delivery team may be unable to install the inflatable if the actual ground conditions are unsuitable.

How Rugby Inflatables Monitors the Weather

We review weather information in the days leading up to an outdoor booking. Because forecasts can change, a decision may not be possible several days in advance.

We consider the full conditions rather than one symbol or percentage. This may include sustained wind, gusts, rainfall, storms, temperature, the length of the hire and the type of location.

Where concerns remain, we may contact the customer before the booking with an update. The final decision will be based on the most reliable information available and, where appropriate, the conditions observed at the setup location.

What Happens If the Weather Is Unsuitable?

Rugby Inflatables will not install or continue operating an inflatable where conditions are considered unsafe. Although cancellations can be disappointing, this decision is made to protect users, customers, staff and equipment.

Where a weather cancellation applies, customers may be offered the opportunity to move the booking to another available date within the applicable rebooking period.

Any refund or rebooking arrangements will be handled in line with the booking terms that apply to the hire.
