Hiring a hall or venue is a great option for a birthday party or celebration, particularly when you want to avoid worrying about the weather.
Venue hires do need a little extra planning. We need enough time to safely deliver, install and collect the equipment within the access times provided by the venue.
This guide explains the main things to check before booking a bouncy castle for a village hall, community centre or other venue with Rugby Inflatables.
Before You Book the Venue
If you're hoping to have a bouncy castle at your event, we recommend checking a few things with the venue first.
- Does the venue allow inflatable equipment?
- What are the internal dimensions of the room?
- What is the usable ceiling height?
- What time can suppliers enter the venue?
- What time must all equipment be removed?
- Is there suitable access for bringing the inflatable inside?
- Are suitable electrical sockets available?
1. Venue Access Times Are Important
One of the most important pieces of information we need for a venue booking is the actual venue access time.
This is the earliest time Rugby Inflatables can enter the building and begin setting up — not the time your party starts.
We also need to know the time by which the venue requires all equipment and suppliers to be completely off site.
For example:
If your party runs from 1:30pm until 3:30pm but you have the hall from 1:00pm until 4:00pm, we need to know the 1:00pm venue access time and the 4:00pm venue exit time.
2. Allow Time for Setup and Collection
The inflatable cannot normally be ready for use at exactly the same time we are first allowed into the venue.
We need time to unload the equipment, move it into the building, position it, inflate it, correctly secure it and complete our safety checks.
We also need sufficient time at the end of the booking to safely dismantle and remove everything before the venue's required exit time.
When choosing your hall booking times, we therefore recommend allowing suitable setup and collection time either side of the actual party.
3. Our Venue Hire Charge
A £10 venue hire charge applies to bookings at venues where we need to work to specific access and exit times.
This applies whether the equipment is being installed indoors or outdoors at the venue.
The charge reflects the additional scheduling required to coordinate our delivery and collection around the venue's fixed times.
4. Check the Available Floor Space
Before booking an inflatable, make sure the venue has enough clear usable floor space.
The inflatable dimensions alone are not the total amount of space required. Additional clearance is needed around the equipment so it can be installed, secured and operated safely.
Fixed furniture, stages, storage areas, radiators, pillars and other obstructions can reduce the usable area of a hall.
If you're unsure, send us the hall measurements or tell us which venue you've booked and we'll help you determine which of our inflatables may be suitable.
5. Ceiling Height Matters
Indoor inflatable hire isn't just about floor space. The ceiling also needs to be high enough for the chosen inflatable.
When checking the ceiling height, look for the lowest obstruction above the proposed setup area, rather than relying only on the venue's overall ceiling height.
Things to look for include:
- Lights and hanging fittings
- Ceiling fans
- Beams
- Projectors
- Speakers
- Decorations and other suspended equipment

6. Can We Get the Equipment Inside?
Inflatable equipment is large and heavy when packed, so suitable access from our vehicle to the setup area is essential.
Consider the entire route, including:
- Parking and unloading arrangements
- External gates
- Entrance doors
- Internal doors
- Corridors
- Sharp turns
- Steps
- Any other restrictions between the vehicle and setup area
If there are steps, narrow entrances or unusual access arrangements, please tell us before the hire.
7. Electrical Power
Inflatable blowers require continuous electrical power while the equipment is inflated.
A suitable mains electrical socket needs to be available for each inflatable unless alternative arrangements have been agreed with us.
Rugby Inflatables supplies the appropriate electrical equipment required for our setup. Please don't alter, disconnect or add additional extension leads to the installation after handover.
8. How Are Inflatables Secured Indoors?
An inflatable still needs to be correctly secured when it is installed indoors.
Indoor installations use suitable anchoring arrangements for the inflatable and location rather than the ground stakes normally used for an outdoor grass setup.
Our team will determine and install the appropriate securing arrangements as part of the setup process.
9. We Complete a Safety Check Before Handover
Once the inflatable has been installed, our team completes the required setup and safety checks before it is handed over for use.
These include the relevant checks for the installation, such as:
- Positioning and available clearance
- Anchoring and securing arrangements
- Inflation and operating pressure
- Blower and electrical equipment
- Condition of the inflatable
- Surrounding setup area
10. Supervision Is Still Required
Indoor hire doesn't remove the need for appropriate supervision.
A responsible adult aged 18 or over must supervise the inflatable while it is being used.
The safety and operating instructions provided at handover should be followed throughout the hire.
11. Collection Before Your Venue Booking Ends
We arrange collection so there is enough time to safely dismantle and remove our equipment before you are required to leave the venue.
This may mean the inflatable needs to stop being used before the end of your hall booking.
Please make sure the route from the inflatable to our vehicle remains clear when we return.

Before booking your inflatable, it's helpful to have the following information:

Can any bouncy castle be used indoors?
No. The inflatable needs to fit safely within the available floor space and ceiling height. Some of our inflatables are particularly suitable for lower-height indoor venues.
Why do you need my venue access time?
We need to know when we're actually permitted to enter the venue so we can plan enough time to unload, install and safety-check the inflatable before your party.
Why is there a £10 venue charge?
Venue bookings require us to schedule delivery and collection around specific access and exit times. The venue charge applies to bookings where these fixed timings need to be accommodated.
What if I don't know the hall measurements?
Ask the venue for its usable room dimensions and ceiling height. If it's a venue we're already familiar with, we may also be able to provide some guidance.
Can you set up outdoors at a venue?
Potentially, yes. Outdoor setups remain subject to suitable ground conditions, anchoring, available space, access and safe weather conditions. The venue must also permit the equipment to be installed in the proposed area.
What happens if the inflatable doesn't fit when you arrive?
We can only install equipment where it can be set up safely. Providing accurate measurements, ceiling heights and access information before booking greatly reduces the risk of problems on the day.
