What Happens on the Day of Your Bouncy Castle Hire?

From arriving at your home or venue to the final collection, here's what you can expect from Rugby Inflatables on the day of your hire.

We know that organising a party or event can involve plenty of planning, so we want the inflatable hire itself to be as straightforward as possible.

This guide explains what normally happens on the day of your Rugby Inflatables hire, including delivery, setup, our safety checks, handover and collection.

Every booking and location can be slightly different, but the process below gives you a good idea of what to expect.

1. Before We Arrive

Before our team arrives, please make sure the setup area and access route are ready for us.

  • Make sure we have clear access to the setup area.
  • Remove garden furniture, toys, washing lines and other obstacles.
  • Remove any animal mess, sharp objects, stones or debris from the setup area.
  • Make sure gates, pathways and access routes are clear.
  • For venue bookings, please make sure we can enter the venue at the agreed access time.

2. We Arrive and Check the Location

When we arrive, we won't simply unload the inflatable straight away.

Our team will first check the proposed setup area, access route and surrounding environment to make sure the inflatable can be installed safely.

Depending on the booking, we'll consider things such as:

  • Available space around the inflatable.
  • The condition and suitability of the surface.
  • Overhead and surrounding obstacles.
  • Access for transporting the equipment.
  • The location of suitable electrical power.
  • Weather and wind conditions for outdoor hires.

Important: The Final Site Check Takes Place on Arrival

Information supplied when booking helps us assess your hire beforehand, but the final decision on whether an inflatable can be safely installed is made when we see the actual location. If the setup area, access, surface, available space or another site condition makes installation unsafe, we may be unable to proceed.

3. Setting Up Your Inflatable

Once we're happy that the location is suitable, we'll begin setting everything up.

The inflatable will be positioned carefully before being inflated and correctly secured.

Outdoor inflatables are securely anchored using suitable ground stakes in an appropriate grass or soil surface. Indoor setups use suitable anchoring arrangements for the location and inflatable.

We'll also install the blower and electrical equipment required to keep the inflatable operating correctly.

4. Safety Checks Before Use

Your inflatable isn't handed over for use until our setup and safety checks have been completed.

Our checks include the areas relevant to the particular installation, such as:

  • Correct positioning of the inflatable.
  • Anchorage and securing points.
  • Blower and inflation.
  • Electrical equipment and connections.
  • The surrounding setup area.
  • Inflatable condition.
  • Operating pressure.
  • Weather and wind conditions where applicable.

5. Outdoor Hires and Wind Monitoring

Wind conditions are particularly important when operating an inflatable outdoors.

Inflatable equipment must not be operated when wind conditions exceed its safe operating limit. For our inflatables, the maximum permitted wind speed is 24 mph.

Where required, we provide an anemometer so wind speeds can continue to be monitored during the hire.

If conditions become unsafe:

Use of the inflatable must stop and the equipment must be dealt with in accordance with the safety instructions provided at handover. The inflatable must not be used again until conditions are safely within its operating limits.

6. Handover

Once setup and our safety checks are complete, we'll hand the inflatable over to the responsible adult.

We'll explain the important operating and safety information you need for the hire.

A responsible adult aged 18 or over must supervise the inflatable while it is in use and make sure the rules and safety instructions provided are followed.

7. During Your Hire

Once we've left, responsibility for supervising the inflatable remains with the responsible adult at the event.

Some of the key rules include:

  • The inflatable must be appropriately supervised whenever it is being used.
  • Users should follow the instructions provided for the inflatable.
  • Food, drinks and chewing gum must be kept away from the inflatable.
  • Shoes, sharp objects and other unsuitable items must not be taken onto the inflatable.
  • Users should not climb or sit on inflatable walls.
  • Outdoor weather conditions must continue to be monitored.
  • If you are concerned about the equipment at any point, stop using it and contact us.

8. When We Return for Collection

We'll return during your agreed collection arrangements to dismantle and remove the equipment.

Please make sure the inflatable and surrounding area remain accessible to our team.

Our team will safely deflate, pack and remove the equipment. Please do not attempt to dismantle or pack away the inflatable yourself unless specifically instructed by us.

Hiring at a Hall or Venue?

Venue bookings work slightly differently because we have to work within the venue's access and exit times.

When booking, please provide the time we can enter the venue and the time by which all equipment must be removed.

We plan our setup and collection around those access arrangements rather than simply using the party start and finish times.

What If the Weather Changes?

Outdoor hires are always dependent on safe weather conditions.

We monitor forecasts where poor weather could affect a booking and may contact you before the hire if there are concerns.

Heavy rain, excessive wind, unsuitable ground conditions or other adverse weather may mean that an outdoor hire cannot safely proceed. Safety will always take priority.

Hire Day FAQs

Do I need to be there when you arrive?

A responsible adult aged 18 or over should be available to provide access, confirm the setup location and receive the equipment and safety information.

How long does setup take?

Setup time varies depending on the inflatable, access and location. We allow enough time to position, secure, inflate and safety-check the equipment properly before handover.

Can I move the inflatable after you've set it up?

No. Once installed and handed over, the inflatable must not be moved, repositioned or have its anchoring arrangements altered by the customer.

What if there's a problem during the hire?

Stop using the inflatable if you believe there may be a safety issue and contact Rugby Inflatables for advice.

Do you collect at an exact time?

Collection arrangements depend on the type of booking. Garden hires normally operate within our collection window, while venue hires are planned around the agreed venue exit time.
